This Privacy Policy explains how TikiTram, LLC d/b/a HelloAssist ("HelloAssist," "we," "us") handles information in connection with our AI receptionist and messaging services (the "Services"), our website helloassist.us, and the businesses that use HelloAssist to answer their calls. We take a deliberately minimalist approach: we keep only what's needed to run your account and route your calls, and we push the heavy lifting to specialized, industry‑standard providers.
1. Third‑party infrastructure
HelloAssist is a configuration and orchestration layer. The real‑time work — voice streaming, speech‑to‑text, AI conversation, and telephony — is performed directly by our technology partners (such as our voice/AI and telephony providers). Those partners process call audio and transcripts and retain them under their own security and retention policies. We do not operate the underlying voice networks or AI models.
2. What we keep
To run your account and deliver results, HelloAssist retains a small amount of data:
- Account details — your registration email, business details, and account/billing settings.
- Call results — an AI summary of each call and the caller's name, callback number, and reason, so the business can follow up. Summaries and transcripts are also included in the call‑notification emails we send the business.
- Routing metadata — the source and destination numbers needed to forward calls.
- Usage — minutes used and similar metrics, to manage your balance and billing.
- Optional add‑ons — if you enable photo/address intake, the photos and details a caller submits through the secure link.
- Scheduling data — if you enable scheduling, your availability windows and booking records (the caller's name, callback number, and appointment purpose), so your assistant can offer and confirm times.
- Texts to your business line — if your HelloAssist number receives a text message, we forward its contents to your account email so you never miss it. We don't use these messages for anything else.
We keep this only as long as needed to provide the Services or as required by law, then delete or de‑identify it. You can request access to or deletion of your data — see Contact below.
3. Payment data — we never store it
Your card and bank details are handled entirely by isolated, industry‑standard payment providers (Stripe and PayPal). HelloAssist never sees, handles, or stores your card numbers or payment credentials.
3a. Calendar connections (Google & Microsoft)
If you connect your Google Calendar or Microsoft 365 / Outlook calendar, HelloAssist uses that connection for exactly two things:
- Free/busy only, to protect your time — we read the times you are busy so your assistant never offers or books a slot that conflicts with your real calendar. We request and use only free/busy intervals: we do not read, store, or display your event titles, descriptions, attendees, or locations.
- Writing bookings you asked for — when your assistant books an appointment, it creates a calendar event on your connected calendar with the caller's name and appointment details, so your calendar stays the source of truth.
Limited Use. HelloAssist's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Calendar data is used only to provide the scheduling features you enabled — never for advertising, never sold, never used to train generalized AI models, and not accessed by humans except with your explicit consent, for security, or as required by law. We apply the same standard to Microsoft calendar data.
Storage & revocation. Connection tokens are stored encrypted in our cloud secrets infrastructure. You can disconnect at any time from your dashboard, or revoke HelloAssist's access directly at myaccount.google.com/permissions (Google) or account.live.com/consent/Manage (Microsoft). Disconnecting immediately stops all calendar reads and writes.
4. How we share information
- Service providers under contract (voice/AI, telephony/SMS, cloud hosting, payment processing, email) — solely to operate the Services.
- The business you contacted — call summaries and the details you provided are shared with that business so they can serve you.
- Legal — when required by law or to protect rights and safety.
- We do not sell personal information, and we do not share SMS opt‑in/consent data or mobile numbers with third parties for their own marketing.
5. SMS messaging program
HelloAssist sends transactional SMS on behalf of the businesses you contact, only after you opt in (typically by verbally agreeing on a call, or by booking with the business) — for example, a secure intake link or an appointment confirmation/reminder. Message frequency varies and is tied to your request. Message and data rates may apply. If you are the account owner and a caller presents a genuine emergency, your assistant may send you a single alert text at your own registered number — these are transactional account notifications, and STOP applies to them too. 6. Your choices
- SMS: reply STOP to stop messages; reply START to resume.
- Email: use the unsubscribe link in any non‑transactional email.
- Access / deletion: contact us to request access to or deletion of your information, subject to legal limits.
7. Children's privacy
The Services are intended for businesses and adults and are not directed to children under 13. We do not knowingly collect information from children.
